Who is responsible?

SiftIt AS (ALEX), company registration no. 936 408 184, Karl Johans gate 25, 0159 Oslo, Norway, is responsible for enquiries submitted through the ALEX websites and interest forms. For privacy questions, contact [email protected].

This notice covers the Norwegian and English ALEX information pages and the forms “Interessert i ALEX?” and “Interested in ALEX?”. It does not cover the processing of candidate data within the ALEX platform.

What information do we collect?

When you express interest, we ask for your name, company or organisation, email address and phone number. You may also tell us what you would like to know more about and describe a specific role or recruitment challenge. We receive the information you enter in the form and information from our subsequent conversation with you. Please do not enter candidate details or sensitive personal data in the free-text fields.

Why do we use this information?

We use it to respond to your enquiry, arrange an initial conversation and follow up on your interest in ALEX. Our legal basis is SiftIt AS’ legitimate interest in responding to an enquiry you have sent us, under Article 6(1)(f) of the GDPR. We consider this limited follow-up to be within your reasonable expectations when submitting the form.

The four contact fields are required so that we can identify and contact you. The other two fields are optional. You do not have to submit the form, but without it we cannot follow up through this channel.

We do not use form responses for newsletters, other marketing or automated decisions about you.

Who has access?

IoP helps SiftIt AS administer the forms and follow up on enquiries on SiftIt AS’ behalf. Access is limited to IoP personnel who need it for this purpose. Currently, one person handles the responses; relevant colleagues may be given access later.

The websites are published through Gamma. The interest forms open in Microsoft Forms. Responses are stored in IoP’s Microsoft 365 environment, and the responsible contact receives email notifications of new responses. Gamma and Microsoft provide the technical services used. Information may also be disclosed where necessary to meet a legal obligation.

How long do we keep the information?

Enquiries that do not lead to a customer relationship are deleted from Microsoft Forms and related email no later than one year after the last contact. If the conversation leads to a customer relationship, relevant information is handled under the procedures for that relationship, and you will receive further information about that processing.

Visiting the websites

The ALEX websites are hosted by Gamma. When you open an interest form, you are taken to Microsoft Forms. These services may process technical information needed to display the pages and forms and protect their services. We have not added Google Analytics, Meta Pixel or similar visitor tracking to the ALEX websites.

Your rights

You may request access to your personal data, correction of inaccurate data, erasure or restriction of processing. You may also object to processing based on legitimate interests. Contact [email protected] to exercise your rights or ask a question. You can lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet) if you believe the processing breaches data protection law.
